How far in advance should we book for peak seasons?
Spring and fall weekends are very popular and can fill 18–24 months in advance. We recommend booking early to secure your preferred date. Please visit our calendar to check your date.
Do you host more than one wedding per day?
Possibly. While this is not a regular occurrence, elopements are 3-hour events which allow for same-day weddings, with plenty of space in between, to allow you to feel like the only one there for the day. Also, the property is designed, and the vision is to continue to design and build beautiful spaces, different and separate from one another, in order to service multiple groups, with different tastes or guest-counts, at the same time. The desire is to allow enough space between locations to allow each group to feel like the only guests present, even if hosted at the same time, on the same day.
Are some days less expensive than others?
Yes. The least expensive days are Monday-Thursday, followed by Sunday, then Friday, then Saturday, and then holidays as our most desirable booking dates.

What’s the payment schedule?
Commonly there are 5 payments noted below, but this is based upon how far in advance you book your event with Willow and Stone. For example, if your event is less than 30 days away, all payments are immediately due upon signing. If your event is 9 months or more away, there will be 5 separate payments.
Payment 1: 25%, due upon signing our Client Agreement
Payment 2: 25%, due 90-days from booking and prior to the due date of payment 3 (whichever is earlier).
Payment 3: 25%, due 180-days from booking and prior to the due date of payment 4 (whichever is earlier).
Payment 4: 25%, due 90-days prior to your event date, or upon booking (whichever is later).
Payment 5: This is a refundable damage deposit of $1,000, due 30-days prior to your event date, or upon booking (whichever is later).
Can I pay online?
Yes, once we have agreed upon a date for your event, you will receive a digital copy of our client agreement (for your digital signature), and you will receive a separate email with a digital invoice with an imbedded, easy means to click and pay your invoice online.
Can I pay everything in advance?
Yes, this is actually a popular option for couples that want everything behind them so they can focus on what matters. However, you do not have to pay everything ahead at once. If desired, when using our easy, online payment system, you can pay ahead of any upcoming invoice and it will be tracked for you.
Are the payments I make refundable?
Yes, if you cancel your event with us, in writing, more than 12-months before your event, your payments are refundable, less a $500 administrative fee. If you cancel within 12-months, for any reason, all payments are non-refundable.
When do I get my damage deposit back?
Within 21 days after your event, less any damage costs, insurance deductible, or other pre-arranged and signed agreement.
If I book in advance, will prices go up?
If your event occurs in under 16 months of your booking, there is no increase from our published prices.
If your event occurs 16 months or over from your booking, your Client Agreement will include a graduated cost increase, based upon a publicly available index: the CPI-U.
What if we cancel?
More than 12 months before your event: refund of all payments except $500.
Within 12 months: all payments are non-refundable.
Can we change our date?
Yes, once, if rescheduled among available dates within 12 months of your original date. A $1,000 date-change fee applies.
How long do we have the venue?
Elopements: 3 hours, Sunday- Saturday
Micro-weddings: 6 hours, Sunday- Saturday
Standard and VIP Weddings: 8 hours, Monday-Thursday, 10 hours Sunday and Holidays, 12 hours Friday and Saturday
Late departure fees apply if you exceed booked time.
Except for overnight guests at The Retreat, all property access (guests and vendors) ends before the property closure hour (no later than 11 PM on Friday or Saturday, and no later than 10 PM Sunday through Thursday, and Willow and Stone Events Holidays).
Can we add hours in advance?
Yes, we have hourly rates for extensions that can be booked in advance, provided all access ends before the property closure hour (no later than 11 PM on Friday or Saturday, and no later than 10 PM Sunday through Thursday, and Willow and Stone Events Holidays).
Can we come the day before for setup or rehearsal?
Access to the venue for a 1-hour rehearsal is included in the cost for standard and VIP weddings. These are commonly scheduled on Thursdays, but are subject to change based upon the event bookings of other guests. We confirm availability 30 days prior.
We love efficiency too, so set-up the day prior, by your vendors, is considered if no other event is booked at the selected venue, and only during the one-hour rehearsal, unless you book additional hours/days prior.
Do we have to use your vendors?
No. We are happy to meet new vendors! All vendors must be:
Professionals in their craft (business-owners),
Licensed as required/needed,
Insured (as is normal, specific certificate of insurance terms are required), and
Pre-approved by Willow and Stone Events at least 30 days before your event
Is a coordinator required?
Yes. We have seen a lot of weddings. Please trust us on this. We HIGHLY recommend using a professional wedding coordinator to better ensure your day is smooth and stress-free (…and we have WONDERFUL coordinators). However, we do allow you to designate a non-family, non-wedding-party, dedicated, day-of coordinator (this is not a guest) to ensure your day runs smoothly (without your needing to give day-of input). For your sake, we do not support brides and grooms running around with set-up chores on their wedding day.
Can we use The Retreat for vendor prep?
Yes, if you have booked The Retreat with your event. Please book early. The Retreat is open to the public for overnight stays, and is rated as a 5-star, Guest Favorite on Airbnb.
What’s your alcohol policy?
Here are the basics:
Alcohol service must be provided by a licensed, insured bartender from our approved vendor list. No family member, friend, or guest may tend bar.
For the safety of the Guests, no shots or doubles will be served.
Bar service is only available after the ceremony is completed, only for a maximum of 5 hours, and service must end 1 hour prior to property closure/planned guest departure, or at any time prior if safety is a concern.
Professional security from our approved vendor list is required when alcohol is served.
Outside alcohol, personal alcohol, and self-serve alcohol is strictly prohibited.
Client and/or Guests may not sell alcohol to any Guest.
All ABC laws and regulations of the state of North Carolina are enforced.
Who supplies the alcohol?
As the most economical option, commonly you would pre-purchase the alcohol to be served at the event, and provide it to the bartender to serve. Other options are available at a premium.
How long is bar service allowed?
Bar service is only available after the ceremony is completed, only for a maximum of 5 hours, and service must end 1 hour prior to property closure/planned guest departure, or at any time prior if safety is a concern.
Can my caterer also tend bar?
Yes! This is a great option, if your caterer is also a licensed bartender, and pre-approved by Willow And Stone Events no less than 30-days in advance.
Can we decorate?
Absolutely! We love seeing couples with an orchestrated vision make the space their own. Your vendor team is responsible for decorating and for returning the venue to the state it was in prior to use, before the close of the property for the evening.
Please avoid tape, nails, staples, and other means of adhesion, grapple, or puncture to Facility structures, surfaces, or furnishings. Confetti, glitter, uncontrolled balloon releases, loose throwables, and the like are not available choices (our property also includes an organic flower farm which must consider our environment).
Who sets up tables and chairs?
Willow and Stone Events sets up the tables and chairs prior to the booked hours on the event date, based upon a pre-agreed layout, so your vendor team can come in early and decorate. Your vendor team is responsible for returning the venue to the state it was in prior to use, before the close of the property for the evening. Day-of changes to table and chair layout have an associated change fee.
What about going big with décor?
We love a big, showy wedding, just as well as an intimate moment between two people! If going big is your vision, placements of tents, tables, furniture, fixtures, stages, entertainers, animal handlers, catering equipment, associated power and sanitation requirements, and decorations, as well as any movement of furniture, fixtures, or Facility property must be pre-approved by Willow and Stone Events no later than 90 days prior to the Event date (…but to better accomplish your vision, we should talk about this prior to booking).
Do you allow candles or open flames?
Yes; only if the flame is fully enclosed in hurricane glass or similar vessel, or in approved fireplaces, operated by our staff. While adding a fire to gather around can really add ambiance for your guests (especially in the early spring, and late fall, and winter months), please note that there is an additional $100 fee per managed fireplace/firepit.
When can we set up?
Set-up is done within your booked hours on your event date. Additional hours or days for set-up/tear down may be booked in advance.

Can we book Artsy Cakesy even if we don’t have our wedding at Willow & Stone Events?
Absolutely. While many of our couples love the convenience of having their cake baked onsite, Artsy Cakesy also serves couples throughout the region. Delivery and setup are available for weddings, showers, and other celebrations.
Do we have to use Artsy Cakesy for our cake?
No, you’re welcome to bring in your own licensed, insured baker. However, choosing Artsy Cakesy means seamless coordination with our team, climate-controlled storage, no cake damage during travel, and presentation that’s ready for your big reveal.
What if it rains?
We love the rain; it helps our flower farm to grow! Often there is little to no impact by rain, depending on your choice of ceremony location and time of year. Updating contingent plans no later than 7 days in advance of the event is wise.
Can we decide last minute to move indoors?
Yes, though day-of table and chair changes would incur an additional set-up fee
Is parking available?
Yes. Free parking for up to 200 vehicles, plus we have two, luxury, 6-seat golf carts and a shuttle service from the parking lot to the venue.
Can guests leave cars overnight?
No, with only one exception for safety reasons (e.g., inebriated guests). Vehicles must be picked up before noon the next day.
Are pets allowed?
Yes, with prior approval, proof of vaccinations, and a designated handler. Pets must be on a leash and removed from the property after the ceremony. No pet may be stored in a vehicle.
Do you have noise restrictions?
Yes. As is normal, sound and music vendors (Masters of Ceremonies, D.J.s, bands, entertainers, etc.) must be aware of local and state ordinances, and remain in compliance at all times. All amplified sound systems, and other loud sounds cease at least one-hour prior to the property closure time (no later than 10 PM on Friday or Saturday, and no later than 9 PM Sunday through Thursday, and Willow and Stone Events Holidays). Volume is to be 50 dB(A) or less outside of any walled building after these times.
Do you allow smoking or vaping?
Only in designated outdoor areas. A $500 fee applies per violation.
Are children allowed?
Yes. Children must be actively and closely supervised by a responsible adult at all times.
Is event insurance required?
Yes. Event liability coverage is required, with liquor liability if alcohol will be served. Certificates are due 30 days before the event.
Do you recommend cancellation insurance?
Yes. While not required, we strongly recommend, for your peace of mind, obtaining cancellation insurance as your low-cost means to recover, through your insurance provider, the non-refundable fees paid to vendors and to Willow and Stone Events for Force Majeure events and medical emergencies.
Is insurance required for vendors?
Yes. Every vendor must be insured to be allowed on the property. All vendors must be pre-approved no later than 30 days prior to the event, with certificates of insurance (COI) noting policy limits and additional information, as noted in the client agreement.
What is The Retreat?
Our luxury on-site lodging, perfect for wedding parties, guests, bridal showers, or private getaways. Features include multiple bedrooms, elegant gathering spaces, a game room, a salon, and breathtaking views.
Please book early! The Retreat is open to the public for overnight stays, and is rated as a 5-star, Guest Favorite on Airbnb (it fills up without notice).
How many guests can it sleep?
Sleeps 10 (5 couples) comfortably, with multiple bedrooms and bathrooms.
Can we host small events there?
Yes! Bridal showers, brunches, or intimate rehearsal dinners, per rental agreement.
What’s the check-in/check-out policy?
Check-in is at 1 PM, and check-out is at 10 AM the following day when booked through Airbnb. Other times are available if booked through the Client Agreement in advance.
Is The Retreat pet-friendly?
No pets, except registered service animals.
